Quick Start Guide:
Using the Victus Nutrition Portal
Here is a short video explaining how to create a menu plan from within a client’s record. This menu plan will be created from the filtered content available to the client after the filters that you have set are applied. It is only available for the client that you are creating it for, and cannot be shared.
2. Create a nutrition plan for this client using the filters that you wish to make a meal plan with e.g. GFCF
3. SAVE this plan, then go back into the patient record and click ‘View Plan’s Recipes:
You will see filtered recipe content based upon the filters that you have chosen. You can see what they are in the grey tab at the top:
4. Open a new browser tab (File/New Tab – see screen shot in Safari and Chrome below) and log into the Victus Platform again (keeping the tab open that contains the filtered recipes as above – do not close this)
5. In the new tab window, after you have logged in to you practitioner account again, click on ‘planner’. Create a new menu plan and name it.

Then flip to the second tab where you are creating your generic GFCF menu plan that can be assigned to any client at any time. Click on Sunday Breakfast, and go to the Berry Quinoa Breakfast recipe from the list of UNFILTERED RECIPES and click ‘Add to Menu’.

Find the menu plan that you wish to assign, and click ‘Edit Menu Plan’:
Click on ‘Settings’ and ‘Assign to Client’:
Select the client that you wish to assign the menu plan to (you can click on their name in the list, or search by typing in the ‘Find by name’ field):
Then click ‘Save Menu Plan’:
The menu plan will now appear in the ‘Menu Plans’ section of the client’s treatment plan, and it will also remain in the Planner section for you to assign to another client at any time. You can assign the same menu plan to as many clients as you wish, and you only have to create it once.
The email address linked to your practitioner account can only be used for your practitioner login and will NOT function as a client account also.
If you wish to create yourself as a mock client you must use a different email address. When creating a mock client profile you don’t need to have a proper email address for it to function, so our advice is to use a short easy word instead.
You will also be cc’d on this welcome email via your email program to your email address in case you need to resend it the client.

Sending another welcome email will generate a NEW password for the client – so be aware of this. It may confuse your client if they have already logged in with the original login.
• Their profile
• Their file uploads
• Their diary, where notes are kept.
• And their questionnaire.

Each client has access to an online diary feature, enabling them to log their health journey, and communicate it to you. Both the client and the practitioner can comment on the diary entries in the notes tab, and everything entered into the client view is also automatically shared to the practitioner view – so you always have a complete picture.
IF YOU DO NOT WISH FOR YOUR CLIENT TO COMPLETE THE QUESTIONNAIRE, simply advise them to click on the green ‘submit’ button at the bottom of the questionnaire, and it will disappear. If the submit button is not visible, or the questionnaire will not submit quickly, this is generally because the client is using Internet Explorer as their browser. Using Internet Explorer for online software can result in screen freezing, delays, and display problems. Please not use it, and advise your clients not to use it either.
Recipes are available for the client include the following categories:
• Sides & Starters
• Mains
• Desserts
• Baking
• Condiments
• Stocks & Broths
• Beverages
• Ferments
Each of these categories is segmented further upon clicking on it, making it easy for clients to choose their next meal.
For example, clicking on mains, you will see the following breakdown:
MAINS:
• Vegan
• Vegetarian
• Lamb
• Chicken
• Beef & Veal
• Fish & Seafood
• Savoury Pies
• Pasta/ Noodles
• Rice/ Grains/ Pulses
Every recipe is composed of whole food ingredients. This makes the ingredients easy to obtain, quick to prepare, and the Victus Nutrition Platform recipe content geographically available in any location. Using only whole foods, and preferably organic produce, grass fed meat, wild caught seafood removes the risk of consuming chemicals, additives and preservatives that are contained in packaged foods.
Every Recipe has a nutritional breakdown.
How do I add supplements to my clients nutrition plan?
Step 1: In the Client’s Nutrition Plan, Click on the ‘Supplements ‘Tab
Step 2: In the ‘List of Supplements’ Click on the supplement you want and set the dosage criteria, the click Add to List’.
How do I record medical / pathology lab tests in the client’s file?
Step 1. Click on the ‘Tests & Medical Reports ‘Tab in the Client’s nutrition plan.
Step 2. Click ‘List of Tests’.
Step 3. You can upload files into the client file by clicking on ‘Medical Reports‘ in the Client’s Nutrition Plan.
You will then be prompted to upload the file/s from your computer.
You can use this function when test results are released or when a client provides you with previous test results, new X-Rays or medical reports from other providers etc.
Step 2. Then click on ‘List of Medication‘.
Step 3. Check for the Medication that your client is taking, or that you are prescribing using the alphabetical sorting tool. If it is not there, type it in the ‘Add Medication‘ textbox and click Add’.
Step 4. Click on the ‘Recent’ button, or the alphabetical sorting tool and the new medication will appear.
Step 6. Complete the dosage information and notes and click ‘Add to List‘ for the medication details to be added to the client’s file/ nutrition plan.
How do I add exercise recommendations into my clients’ nutrition plans?
Step 1. Click on the Exercise Tab in the Client’s Nutrition Plan. Click ‘List of Exercises’.
Step 2. Select from the list of exercises available, or choose to add an exercise option, by clicking on ‘Add’.
Step 3. Save the new exercise option by Clicking on ‘Add to List ‘. The new exercise option will be added to the client’s nutrition plan and will populate into the list of exercises available for future selection with other clients.
When you are creating or editing a Nutrition Plan for a client, you will see 2 separate note areas. One is named Client Notes &
Recommendations, and this one is for you to offer suggestions and guidance to your clients, and therefore the notes that you type in here WILL be visible on the Client Nutrition Plan.
The second note area is named My Notes, and is for private client notes. It is NOT visible to the client and will NOT appear on the Nutrition Plan. You can only type notes into this area AFTER the Nutrition Plan filters have been saved. You must go back into it and then type the notes and save again.

How do I change my client’s nutrition plan?
Step 1.
After logging into Victus Nutrition, click on ‘My Clients’
Step 2.
Select a client from the list.
If you have made an error in the client’s nutrition plan and wish to go in a fix it – click on ‘Nutrition Plan History‘ and edit.
If you are continuing nutrition, are recording observations and altering the nutrition plan that has been running since the last appointment, you will want to create a ‘New Nutrition Plan’. This enables you to maintain a chronological record of your client visits and the nutritional interventions and results that you have observed.
- First and Last Name
- Phone Number
- Password (make this simple, the client can change it at any time)
After you have filled in those fields clicked ‘save’ the client will appear in your client list and you will be able to create a nutrition plan. You do NOT need to enter data into any of the other fields, especially if you already use a practice management system that contains patient records.
For ease of transition, you can upload all of your existing clients into the Victus Platform via .csv file. To do this, click the ‘Clients’ Hexagon on the main menu, and then you will see the ‘Client Upload’ button on the top right of the form.
The number of clients that are counted towards your license are only those for whom you have created a nutrition plan including filtered recipes and whom are not archived. Any clients that you have uploaded and do not have a nutrition plan are not counted as active clients, but their details will already be there to expedite creating a Nutrition Plan for then should you wish to do so.
It is probably best to send your client an email from your clinic’s email program if you want to reach them immediately.
After you create AND SAVE a client nutrition plan there is a button on the bottom of the form, to enable you to check and see what recipes your clients will get.
You will know that you are viewing the correctly filtered content if you see the filters that you selected displayed across the top of the screen. Please see the short video below for a demonstration.
If you want to look at a number of different meal categories in your client’s view, please ensure that you use the Recipe Home Button on the bottom of the page to go back. Do not use the Home Button or it will clear away the filters so that you see all of the recipes in the system – not the client filtered view that you created.
The system will only allow one person to be attached to an email address, but in the case of multiple patients in one household, as long as they know how to log in, a username is all that is required, not an actual email address in this field.
The example above demonstrates the required filters for this diet combination. The only additional eliminations on top of the Paleo Diet filter are Polyols, Fructans, and Balanced Fructose as the other FODMAPs (Lactose, & Oligosaccharides- contained in legumes – are already contained in the Paleo Filter.
REMEMBER: If you remove every food group, there is going to be nothing left for the patient to eat! – use common sense when applying dietary filters.
If your client has a long list of ingredients to exclude it may be better to create a diet using the individual elimination filters only OR choose a less restrictive ‘whole food diet’ (eliminates all processed foods) and then apply the most important individual filters from the elimination or intolerance modules, OR advise your client to follow a rotation diet to manage the less inflammatory ingredients.The quantity of recipes that your client has available to them will depend upon how restrictive the filters are that you have set for them. If it is too restrictive you can go back and change the treatment plan by prioritising the most inflammatory ingredient exclusions.

Immediately after you click ‘SAVE PLAN’ you will see the following message telling you that the plan has been saved:
Then you can go and view the recipes that your client receives.
If you do not see the ‘Saving Details‘ message, it has not been saved!
If it won’t save it may be because you have omitted some mandatory fields.
If so a message will pop up to tell you what mandatory field is missing.
The function works, but user error will result in unfiltered recipes being displayed rather than the client nutrition plan recipes. For the ‘view clients recipes’ feature to work, you must first save a nutrition plan in the client file. THEN go back into the saved nutrition plan and click the ‘View Plan’s Recipes’ Button at the bottom of the saved nutrition plan.
While you are viewing, you can push the PINK ‘Recipe Home’ button to go back to the recipe home page or the YELLOW ‘Go Back’ button to return to the previous screen, without causing the recipes to become unfiltered.
When you finished reviewing, click on ‘Main Menu’ to resume other work.
If you click the ‘home’ button at any point while perusing a client’s recipe list, you will go back to all of the unfiltered recipes.
You must only click the ‘go back’ or ‘recipe home’ buttons and never the ‘home’ button or you will end up with unfiltered recipes. Only click the ‘home’ button when you are finished perusing.
If you have followed the above procedure and are still seeing ingredients that you do not believe are correct for the filter that has been applied, PLEASE notify the Victus Support Team. We are very conscious about ensuring the quality of our recipe classifications and want to know about any discrepancies and welcome all communication about our service. Sometimes during upgrades new bugs are created that disrupt older functions and it may not be immediately obvious to us as we test the new functions.
When you email, please explain exactly the ingredients you believe should not be included and we will look into those concerns for you.


Initially, every patient is set to one primary practitioner for the practice. This will be the person whose name appears at the top left of the Victus Platform as a default.
When a different practitioner is seeing a patient, the primary practitioner for that patient can be changed from the drop down box at the top of the patient profile.
This signals the system that this practitioner is treating this patient – and the treating practitioner’s name will appear at the top left of the screen for those patients when they log in, and will be on treatment plans, notes and correspondence.
This is how it works:
Go into your patient/client list and select or create the client, then click on the ‘Client Details’ tab:
Now, select the primary practitioner for that client:
And click save at the bottom of the form.
This will mean that the primary practitioner treating the patient will have their name on treatment plans, notes and correspondence relating to that patient. In the Victus Example Practice, Michelle is the primary practitioner for the practice, and Pauline has selected herself as the practitioner seeing the Test Patient, Daniel. Therefore, Pauline’s name will appear on treatment plans, notes and correspondence relating to that patient.
Each practitioner in the practice must log in to the Victus Platform using their own unique login details.
